Role Overview
Provide day-to-day executive and operational support to two Vice Presidents, helping sales leadership stay organized, prepared, and focused on business priorities. You will coordinate schedules and leadership activities, keep information and follow-ups moving across teams, and handle sensitive matters with sound judgment.
Key Responsibilities
- Manage executive calendars, arrange business meetings, and resolve scheduling conflicts across competing priorities.
- Coordinate leadership reviews, client meetings, training sessions, and other business events, including preparation and follow-up.
- Serve as a professional point of contact for internal colleagues and external stakeholders, responding and routing requests promptly.
- Arrange domestic travel and process expense reports, invoices, sponsorship records, and event documentation.
- Prepare and maintain presentations, reports, dashboards, client lists, distribution groups, and executive communications.
- Support cross-functional initiatives by coordinating participants, tracking milestones, and following up on action items.
- Use discretion when working with confidential performance, customer, organizational, and leadership information.
- Identify opportunities to improve administrative processes and coordinate with teams such as Sales, Finance, HR, Marketing, and Operations.
Requirements & Qualifications
- At least five years of executive administrative experience supporting senior leaders; experience in healthcare, sales, or a corporate setting is relevant.
- Demonstrated ability to manage complex schedules, shifting priorities, and deadlines with minimal oversight.
- Strong organization, communication, problem-solving, and decision-making skills.
- Experience coordinating executive meetings and cross-functional projects or business activities.
- Advanced working proficiency with Outlook, PowerPoint, Excel, Teams, Word, and Copilot.
- Ability to handle sensitive information responsibly and communicate professionally with varied stakeholders.
- Availability to work a day-shift schedule aligned with Central or Eastern Time.
- High school diploma with relevant experience required; a bachelor’s degree or equivalent combination of education and experience is preferred.
- Experience supporting Vice President-level leaders, preparing executive materials, or working with sales operations is an advantage.
