Role Overview
As Executive Assistant to the VP of Global Partnerships, you will keep the executive’s schedule, communications, and day-to-day operations running smoothly while helping the partnerships team stay organized. The role also supports sales operations, reporting, and strategic projects, connecting internal teams and external stakeholders so leadership can focus on business priorities.
Key Responsibilities
- Manage the VP’s calendar, arrange meetings and travel, and prepare expense reports.
- Maintain partnership and sales materials, including presentations, reports, proposals, contracts, and client documents.
- Update CRM records and support pipeline tracking, dashboard maintenance, and routine sales reporting.
- Coordinate order processing with finance and operations, following activities through to completion.
- Serve as a coordination contact for internal colleagues, external stakeholders, and Global Partnerships teams.
- Arrange team events, offsites, and client meetings, and assist with related logistics.
- Help onboard new team members by coordinating access, training schedules, and introductory materials.
- Track team activity and key performance indicators, prepare leadership presentations, and support other operational or strategic projects.
Requirements & Qualifications
- Prior experience in executive assistance, administration, team support, or sales support; 4–6 years supporting vice presidents or other senior executives is an advantage.
- A bachelor’s degree in business administration, management, communications, or a related discipline is listed as an estimated qualification.
- Strong calendar-management, organization, and stakeholder-coordination skills, with careful attention to detail.
- Working familiarity with Salesforce or HubSpot, including CRM data entry, pipeline tracking, or reporting.
- Proficiency with Microsoft Outlook, Excel, and PowerPoint, plus Slack and other collaboration tools.
- Clear written and verbal English communication skills.
- Sound judgment and discretion when handling confidential information or sensitive situations.
- Able to work independently, balance competing requests, and meet deadlines in a fast-moving environment.
