Role Overview
The Executive Administrator – Growth provides day-to-day operational support to several senior leaders, keeping schedules, meetings, travel, and follow-up work organized. By preparing leaders for decisions and helping business initiatives run smoothly, this role supports the teams driving growth at a financial technology and payments organization.
Key Responsibilities
- Coordinate calendars for executive and senior leadership team members, resolve scheduling conflicts, and ensure appointments are properly arranged.
- Plan leadership meetings by organizing invitations, agendas, attendees, materials, and minutes, then track resulting action items.
- Arrange executive travel, including air and hotel bookings, ground transportation, dining, and related logistics.
- Support corporate, industry, and internal events by coordinating schedules, participants, travel, and on-site or virtual details.
- Prepare and route expense reports, invoice approvals, and supporting information in line with company procedures and deadlines.
- Draft and format reports, presentations, correspondence, and other business documents using established templates.
- Manage executive email, mail, and communications, prioritizing requests and ensuring timely follow-up.
- Assist with new executive onboarding, including equipment and access requests, and identify opportunities to improve administrative processes.
Requirements & Qualifications
- At least three years of experience as an Executive Assistant, or five or more years as an Administrative Assistant.
- Experience supporting managers, directors, or executives; experience in a sales or business setting is preferred.
- An associate degree or equivalent administrative or operational support experience is required; a bachelor’s degree is preferred.
- Advanced proficiency with Microsoft Outlook, Excel, Word, and PowerPoint.
- Strong business writing and communication skills, with the judgment to handle confidential information appropriately.
- Demonstrated capability in executive calendar management, meeting coordination, travel planning, document management, and administrative reporting.
- Ability to work independently, balance competing priorities, adapt to changing needs, and communicate effectively with stakeholders.
