Role Overview
This position serves as the operational anchor for the department’s examination cycle, working under the Head of Department to keep every stage—from draft paper collection to final results approval—moving on schedule. The postholder protects academic standards by enforcing moderation, security, and compliance requirements while providing a professional, responsive experience for students, parents, guardians, and other university stakeholders. Success in the role depends on precise coordination, careful record-keeping, and the ability to keep lecturers, invigilators, and examination boards aligned.
Key Responsibilities
- Track and consolidate draft examination papers from teaching staff, making sure each submission arrives within the agreed timeline.
- Route drafts through internal and external moderation, then confirm that every suggested correction is incorporated before papers are finalized.
- Supervise the full paper-production cycle: question setting, proofreading, formatting, final approval, secure printing, and distribution to exam venues.
- Build departmental exam timetables and invigilation rotas, balancing staff availability and institutional requirements.
- Monitor exam sessions to ensure they follow institutional rules, and manage the collection of completed answer booklets for marking.
- Oversee coursework processes—release, assessment, marking, and submission—so that all components meet deadlines.
- Organize moderation of marked scripts after examinations and compile outcomes for the Departmental and Faculty Examination Boards.
- Keep examination records accurate and audit-ready, and apply the university’s examination rules and quality assurance expectations consistently.
Requirements & Qualifications
- Bachelor’s degree in Information Technology or a closely related discipline from an accredited university.
- Minimum of three years in a comparable examinations or academic administration position at a private university.
- Evidence of leadership potential and readiness to take on greater responsibility.
- Proven ability to work independently and to collaborate with lecturers, administrators, and other colleagues across the university.
- Strong organizational and coordination skills to manage multiple deadlines, moderation cycles, and examination schedules.
- Working knowledge of examination regulations, quality assurance, and records management in a higher education setting.
- Professional communication and customer service skills for engaging students, guardians, parents, and other stakeholders.
