Role Overview
This position places you at the operational core of a UN Women regional office, where your primary focus is ensuring safe, reliable, and professional transport for senior leadership, visiting dignitaries, and programme staff. Beyond driving, you will act as a logistics linchpin—managing vehicle fleets, maintaining meticulous records, coordinating protocol-related paperwork, and supporting administrative workflows that keep the office running smoothly. Your attention to detail and adherence to security standards directly safeguard the organization's staff, reputation, and operational continuity in a demanding diplomatic environment.
Key Responsibilities
- Operate official vehicles for the Regional Director, high-ranking officials, VIP visitors, and programme personnel, including airport pickups and drop-offs with full support for visa and customs procedures.
- Deliver and collect mail, documents, and packages across government offices, embassies, commercial establishments, and UN agencies, ensuring timely and secure handling.
- Maintain precise trip documentation—logging odometer readings, dates, destinations, passenger names, and trip purposes—and submit completed logbooks for weekly supervisor review and sign-off.
- Record every fuel purchase immediately, attaching original receipts and reconciling them with odometer and consumption data; escalate discrepancies to the supervisor as soon as they are identified.
- Track and document all vehicle maintenance, including service dates, types of work, providers, mileage, and costs; obtain written approval before scheduling any non-emergency repairs.
- Conduct pre-trip and post-trip inspections using standardized checklists, reporting defects or safety concerns without delay, and ensure vehicles are cleaned and presentable for senior officials and visitors.
- Verify that all required documents—registration, insurance, inspection certificates, logbooks, first aid kits, spare parts, and city maps—are current and stored in the vehicle; proactively alert the supervisor about renewals at least 30 days in advance.
- Support broader administrative and protocol tasks, including preparing Note Verbales, creating procurement e-requisitions, managing external storage facilities, and liaising with host-country departments on vehicle registration, visas, ID cards, and license plates.
Requirements & Qualifications
- Completion of secondary education is required; a valid driver's license is mandatory, and defensive driving certification is an asset.
- At least three years of professional driving experience within an international organization, embassy, or the UN system, with a clean and safe driving record.
- Proven ability to maintain accurate vehicle and fuel logs that meet audit and accountability standards, demonstrating strong record-keeping and documentation skills.
- Solid working knowledge of local roads, traffic conditions, chauffeur protocol, and diplomatic courtesies, paired with excellent defensive driving techniques.
- Hands-on capability for minor vehicle repairs and routine checks, including oil, tires, brakes, water, lights, indicators, wipers, horn, and clutch.
- Experience in administrative support services, including working with government partners and handling protocol-related documentation, is desirable.
- Basic computer literacy in MS Word, Excel, and email applications is required; ability to prepare routine correspondence and formats is expected.
- Fluency in English and Swahili is required; knowledge of another UN official language (French, Arabic, Chinese, Russian, or Spanish) is an advantage.
