Role Overview
The Dispatch Specialist is the final checkpoint between the Twyford International Kenya Ltd. facility in Kajiado and the customers and distributors waiting on their goods. Day to day, this person owns the flow of the loading bay — confirming that every order carries the right paperwork, that the correct stock is picked and loaded, and that transport is booked and tracked until delivery is confirmed. Because dispatch is where accuracy either holds or breaks, strong performance in this role protects inventory records, revenue, and the company's reputation for dependable service.
Key Responsibilities
- Plan and run the daily dispatch schedule so customer orders are prepared, checked, and released complete and on time.
- Cross-check sales orders, delivery notes, invoices, picking lists, and related paperwork before any consignment leaves the premises.
- Work alongside warehouse teams to confirm the right products and quantities are picked, counted, and loaded onto the correct vehicles.
- Act as the link between sales, transporters, drivers, and customers to keep deliveries moving and resolve bottlenecks as they arise.
- Track delivery progress and follow up on late, partial, or failed deliveries until they are closed out.
- Record dispatch activity in company systems, including SAP where applicable, and keep shipment records and dispatch reports accurate and current.
- Reconcile quantities dispatched against approved orders and delivery documentation, and formally flag stock variances, loading errors, damaged goods, or other dispatch problems.
- Identify recurring dispatch issues and recommend practical changes that improve accuracy, turnaround time, and efficiency, while upholding inventory control procedures and workplace health and safety standards.
Requirements & Qualifications
- Degree in Supply Chain Management, Logistics, Warehouse Management, or a closely related field.
- At least 2 years of relevant experience in dispatch, warehouse operations, logistics, or distribution.
- Demonstrated experience handling dispatch documentation, stock movement control, and delivery coordination.
- Proficiency in Microsoft Excel and other relevant computer applications used in warehouse and dispatch administration.
- Experience with SAP or another ERP or Warehouse Management System is an added advantage.
- Strong attention to detail, organisational skills, and the ability to solve problems as they surface.
- Good communication and coordination skills for working across internal teams and external partners.
- Ability to work under pressure and meet operational deadlines.
- High levels of integrity, accountability, and teamwork.
