Role Overview
This position owns the full order-to-cash journey, from the moment work is certified or goods are delivered through to cash landing in the bank. Day to day, that means getting invoices out correctly and on time, chasing balances that have slipped past terms, keeping customer ledgers clean, and giving management an early warning when a customer's ability to pay starts to look shaky. The role also serves as the standing deputy to the Head of Finance, so the person in it needs enough breadth across month-end close, cash-flow planning, and statutory filings to keep the finance function steady during absences.
Key Responsibilities
- Raise invoices from contracts, local purchase orders, delivery confirmations, certified milestones, and approved variations, confirming that rates, quantities, discounts, and tax treatment are right before anything is issued to the customer.
- Work the debtors ledger against agreed collection targets, using statements, calls, meetings, and site or office visits to recover overdue balances, and negotiating realistic payment arrangements where a customer genuinely needs them.
- Escalate troubled accounts through the right channels, recommending credit holds, third-party collection, or legal referral when softer follow-up has run its course, and looping in Sales, Projects, and Operations to unblock disputes that are holding up payment.
- Run the customer onboarding and credit review process — applications, KYC packs, trade references, verification — then propose credit limits, payment terms, and exposure caps, and revisit them as payment behaviour changes.
- Allocate receipts promptly and accurately, reconcile customer accounts each month, clear long-standing differences, and process credit notes, refunds, and write-offs only through the proper approval route.
- Track retentions and pursue their release as they fall due, while keeping contract values, advance payments, guarantees, and certified amounts reconciled against what has actually been invoiced and collected.
- Produce the monthly debtors ageing, collections tracker, and rolling cash forecast, monitoring DSO, overdue concentration, and collection efficiency, and feeding expected credit loss assessments and provisioning recommendations into the numbers.
- Cover for the Head of Finance when required — supporting month-end and year-end close, management accounts, budgets, forecasts, short-term cash planning, statutory filings, external auditor and bank liaison, and the allocation and coaching of junior finance colleagues.
Requirements & Qualifications
- Bachelor's degree in Commerce, Accounting, Finance, or a comparable discipline.
- Fully qualified CPA (K) or ACCA.
- Five to seven years in credit control, accounts receivable, or a closely related finance role, with at least two of those years leading or supervising a team.
- Exposure beyond receivables to month-end closing, management accounts preparation, cash-flow forecasting, and statutory compliance work.
- Working command of Kenyan tax rules as they apply to sales — VAT, electronic tax invoicing, withholding tax and the associated certificates, and the filing platforms used for them.
- Hands-on experience with an ERP or accounting package such as Sage, SAP Business One, Microsoft Dynamics/Navision, Odoo, or QuickBooks.
- Confident Excel user — pivot tables, lookups, reconciliation builds, and management reporting.
- Solid grounding in IFRS as it relates to revenue recognition and receivables accounting.
- Advantageous: background in construction, fit-out, contracting, manufacturing, or another project-based setting; familiarity with retentions, variations, milestone billing, and performance guarantees; experience handling large corporate or retail accounts; prior experience deputising for a Finance Manager, Financial Controller, or Head of Finance; credit management certification or professional accounting membership.
