Role Overview
This role provides hands-on commercial and liaison support to the Commercial Manager, keeping daily interactions with Kenyan public bodies, the Contracting Authority, business partners, and clients running smoothly. The person in this position composes and organises English-language business documents, coordinates meetings and visits from start to finish, and maintains the tracking systems that keep commitments visible and on schedule. Because the work directly affects how external stakeholders perceive the organisation's reliability, accuracy, follow-through, and cross-cultural communication are central to the job.
Key Responsibilities
- Act as a day-to-day point of contact and coordination link with Kenyan government offices, the Contracting Authority, partner organisations, clients, and other external parties, supporting the Commercial Manager in these relationships.
- Compose and vet English business correspondence, reports, and meeting packs, and keep outward-facing documents well organised; process incoming company paperwork from registration through internal circulation to archiving.
- Arrange business meetings, client visits, and commercial events — issuing notices, preparing materials, securing venues, confirming attendees, writing minutes, and chasing action items until they are closed out.
- Keep commercial records and tracking logs for key matters, correspondence, meeting decisions, and open tasks, and give timely updates on progress.
- Provide coordination support to different departments, making sure internal teams and external contacts stay connected and that follow-ups are not dropped.
- Deliver English translation and interpretation, and offer on-the-ground communication support during business meetings, site visits, and client receptions.
- Take on additional duties as directed by the supervisor or Commercial Manager.
Requirements & Qualifications
- Bachelor's degree or higher in Business, Marketing, Management, International Relations, Engineering, or a comparable discipline.
- 1–3 years of experience in commercial support, government or corporate liaison, or general coordination is preferred.
- Practical familiarity with Kenya's business landscape, the operating procedures of local government authorities, Contracting Authorities, and public institutions, plus a sound grasp of local business etiquette and basic compliance expectations.
- Fluent written and spoken English, with the ability to independently draft or help produce English emails, business correspondence, and work reports.
- Chinese communication ability, ideally HSK Level 4 or above, is a plus.
- Strong communication and coordination skills, with the capacity to support multiple departments in outward-facing relationship management and commercial coordination.
- Proficient in Microsoft Office, with hands-on experience in meeting coordination, document management, task tracking, and follow-up.
- Responsible, detail-oriented, and execution-focused; works well in a team, has a service mindset, can handle pressure, and can independently see assigned tasks through to completion.
