Role Overview
This position places you at the centre of daily campus operations for a growing educational institution in Ongata Rongai. You will ensure that classrooms, administrative offices, and shared spaces remain safe, clean, and ready for use by combining systematic inspection routines with hands-on coordination of maintenance teams and external specialists. Your work directly supports the school’s ability to deliver an uninterrupted learning environment, as you are the first point of contact for facility faults, service contractors, and event-related logistical needs.
Key Responsibilities
- Carry out structured walkthroughs of the entire campus at the start and end of each working day, noting any structural, electrical, plumbing, or civil defects and immediate safety hazards.
- Create and update digital work orders in the institution's ticketing system (Zoho), prioritising urgent repairs and following up until each task is closed off to the satisfaction of building users.
- Accompany approved external technicians during servicing of specialised systems such as lifts and fire suppression equipment, and verify their completion sheets before sign-off.
- Track daily attendance of cleaning personnel and coordinate the sanitation rosters for all assigned blocks, adjusting workflows during peak periods or staff absence.
- Oversee security protocols by confirming that offices, laboratories, and other sensitive areas are locked outside authorised hours, and investigate any access irregularities.
- Handle complaints from staff, students, and visitors concerning facility conditions, offering quick practical resolutions or escalating complex issues to management.
- Plan and supervise the preparation of rooms for institutional events, including furniture layout, audiovisual equipment readiness, and post-event removal and storage of all materials.
- Immediately document and report any property damage, theft, or missing assets, and maintain an accurate log of all inventory movements related to events and maintenance.
Requirements & Qualifications
- Hold a Diploma or Bachelor’s Degree in Business Management, Project Management, Facilities Management, or a closely related discipline.
- Have at least 2–3 years of hands-on experience in property management, facility coordination, or administrative project management, preferably within an institutional or campus environment.
- Be comfortable using digital work-order or property management platforms; prior experience with Zoho will be considered a strong advantage.
- Possess a sound working knowledge of basic civil, electrical, mechanical, and plumbing maintenance practices, together with practical site safety awareness.
- Show strong organisational and problem-solving abilities, with a demonstrated capacity to manage multiple repair requests without losing sight of deadlines.
- Communicate clearly and professionally, both in writing and verbally, when liaising with internal users, external contractors, and the administration team.
