Role Overview
This position sits within the bond and customs documentation function in Nairobi and reports to the Supervisor, Bond and Customs Documentation. Day to day, the role moves bond applications, statutory letters, and export paperwork through the necessary customs and regulatory touchpoints, keeping submissions accurate and timelines tight. It matters because smooth bond processing and export verification protect clearance schedules, reduce costly delays, and keep the department's records audit-ready.
Key Responsibilities
- Assemble, submit, and track bond applications and supporting documents at Sameer and Ardhi House, ensuring each lodgment meets customs deadlines.
- Monitor bond entries and follow up on approvals, amendments, cancellations, and releases with customs officers and internal departments to resolve processing queries.
- Prepare statutory letters and applications to KRA, KPA, KAA, NTSA, and other agencies as directed, covering requests, appeals, waivers, refunds, cancellations, and similar correspondence.
- Deliver and lodge official submissions, then pursue feedback, approvals, or actions from the relevant officers and departments.
- Keep registers, tracking schedules, and pending-items lists current for bond applications, export documents, statutory letters, and approvals.
- Support Nairobi export clearance by coordinating exporters, customs, transporters, and warehouses on entries, verification, release, and other requirements.
- Help resolve delays or queries that affect bond processing or export clearance, escalating unresolved matters to the Supervisor.
- Return approved documents to the office for filing and system updates, maintaining confidentiality and complete records.
Requirements & Qualifications
- Diploma in Clearing & Forwarding or an equivalent qualification.
- CMS Certification.
- Working knowledge of bond procedures, customs entries, export documentation, and statutory agency requirements.
- Experience preparing and lodging documents with customs or regulatory bodies such as KRA, KPA, KAA, or NTSA.
- Strong follow-up, record-keeping, and coordination skills, with the ability to manage several pending items at once.
- Clear written and verbal communication for correspondence and stakeholder follow-up.
- High level of discretion when handling company and client information.
- Nairobi-based availability for office and field duties at Sameer, Ardhi House, and other relevant locations.
