Bids Executive
Role Overview
The Bids Executive owns every stage of the pursuit cycle, from first spotting a relevant tender to handing over a polished, fully compliant submission. Working alongside technical, commercial, and delivery teams, this person acts as the central coordinator who keeps each bid on track and makes sure the strongest possible case reaches the evaluator. The role is directly tied to revenue growth, because converting qualified opportunities into signed contracts depends on the quality and timeliness of the work done here.
Key Responsibilities
- Monitor tender portals, industry bulletins, and client pipelines to surface relevant opportunities early, then assess fit against the organisation's capabilities and strategic priorities.
- Lead the end-to-end bid cycle: unpack requirements, build response plans and timelines, and drive each submission to completion on schedule.
- Coordinate input from subject matter experts across technical, finance, legal, and operations teams, ensuring their contributions are accurate, consistent, and aligned with the bid strategy.
- Write, edit, and format proposal content so that every response is clear, compelling, and tailored to the evaluation criteria rather than recycled from previous submissions.
- Maintain a compliance matrix and check every mandatory requirement, form, and supporting document before submission to avoid disqualification.
- Manage clarification questions, addenda, and client communications throughout the tender period.
- Keep the bid library and template repository current, capturing reusable answers and lessons learned from both wins and losses.
- Produce post-submission debriefs and feedback summaries to refine future bid approaches and improve win rates.
Requirements & Qualifications
- A bachelor's degree from an accredited, recognised institution in information technology or a closely related discipline.
- At least three years of hands-on experience in bid coordination, tender management, or proposal development, ideally within a technology-driven environment.
- Demonstrated ability to interpret complex tender documents, including technical specifications and compliance requirements.
- Strong project management skills, with a track record of managing multiple deadlines and stakeholders under pressure.
- Excellent written English, including the ability to turn technical detail into persuasive, evaluator-friendly narrative.
- Proficiency with common bid tools, document management systems, and collaboration platforms.
