Role Overview
The Administrative Assistant will keep the consultancy’s daily operations organised and help its team move client requests through company formation, immigration, and corporate administration processes. The role combines records management, deadline tracking, and coordination with clients and external organisations, helping ensure documents and applications are handled accurately and on time.
Key Responsibilities
- Provide day-to-day administrative support to management and consultants, including organising information and assisting with operational tasks.
- Help prepare and track company formation, licence renewal, amendment, and other corporate service requests.
- Assist with UAE residence visa applications, renewals, cancellations, and related immigration documentation.
- Coordinate insurance requirements, including health, workers’ compensation, and third-party liability cover.
- Maintain organised client and corporate files, update CRM records, and check documentation for accuracy and completeness.
- Liaise with clients, free zone authorities, government departments, banks, and external service providers to progress requests.
- Track deadlines and pending applications, follow up for outstanding documents, and support attestation and legalisation procedures.
- Research operational questions and assist with internal projects as required.
Requirements & Qualifications
- Previous experience in UAE corporate services or the business setup sector is preferred; the source does not specify a minimum number of years.
- A diploma or bachelor’s degree in business administration, management, or a related discipline is indicated as an estimated qualification.
- Fluent written and spoken English, with clear communication skills for client and stakeholder coordination.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Familiarity with DMCC, IFZA, and RAKEZ procedures, corporate documentation, and UAE government processes.
- Experience with CRM tools and accurate administrative record-keeping.
- Strong organisation, attention to detail, and the ability to manage several requests and deadlines at once.
- Integrity and discretion when handling confidential client information; a proactive approach and willingness to learn.
- Russian, Ukrainian, or Turkish language skills are an advantage.
