Role Overview
This position sits within a busy property management team in Ruiru, Kiambu, focusing on the day-to-day financial transactions that keep a real estate portfolio running smoothly. You will be responsible for ensuring tenant accounts are accurate, payments are tracked, and suppliers are paid on time, directly supporting the finance manager in maintaining clean ledgers and audit-ready records. The role matters because precise accounting here prevents revenue leakage and keeps both tenants and vendors satisfied, which is essential for a property business to operate efficiently.
Key Responsibilities
- Post all daily rent collections, service charge receipts, and utility payments into individual tenant ledgers, then issue corresponding official receipts and invoices promptly.
- Monitor outstanding rent balances, send follow-up reminders to tenants, and coordinate with the team to recover overdue amounts while keeping detailed notes on each account.
- Reconcile tenant statements against lease agreements periodically, resolving any mismatches in deposits, billing amounts, or payment allocations.
- Record day-to-day income and expense vouchers, plus journal entries, into the accounting system, ensuring every transaction is properly coded and supported by documentation.
- Match supplier invoices with purchase orders and completion confirmations before scheduling payments, and maintain vendor account reconciliations to avoid service disruptions.
- Perform regular bank reconciliations across all property bank accounts, investigate any unallocated deposits or unexplained differences, and update cash position records.
- Oversee petty cash by verifying disbursements against approved requisition slips and ensuring all receipts are accounted for before replenishing the float.
- Support month-end and year-end closing processes by preparing schedules, compiling data for VAT, withholding tax, and PAYE returns, and organising files for internal or external audits.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Accounting, Finance, or a related field, accompanied by a CPA qualification (at least Part II; CPA-K is preferred).
- One to two years of practical accounting experience gained specifically within a real estate, property management, or housing development company.
- Hands-on ability with accounting software such as QuickBooks, Sage, or an ERP system, plus strong Microsoft Excel skills for reconciliations and reporting.
- Familiarity with rent ledger operations, tenant deposit handling, accounts payable/receivable cycles, and basic Kenyan tax regulations.
- Based in or within easy commuting distance of Ruiru, Kiambu, and able to work full-time office hours reliably.
- Meticulous attention to detail, capable of spotting and correcting small discrepancies in ledgers without supervision.
- High personal integrity and discretion when handling sensitive financial data and cash transactions.
- Strong organisational ability to prioritise multiple tenant queries, payment runs, and reconciliation deadlines simultaneously.
