Role Overview
This accounting role supports accurate financial operations across petty cash, staff advances, bank accounts and insurance claim recoveries. You will maintain reliable records, resolve outstanding balances and help centres address the issues that can delay claim payments, while contributing to month-end reporting and project budgeting.
Key Responsibilities
- Process petty cash reimbursement claims from centres by checking supporting reports and cash certificates, preparing expenditure schedules, posting costs to SUN and submitting replenishment requests for approval.
- Manage staff advances from request through settlement: verify account status, route requests for approval, prepare coded payment requisitions and compile supporting documents for EFT or M-Pesa payments.
- Review approved staff expense surrenders, post them promptly, allocate them against advances and make accurate adjustments to staff debtor accounts.
- Prepare monthly aged-debtor reports, share them with department heads, remind staff about overdue amounts and follow up on repayment or settlement.
- Handle other staff-related claims and reimbursements, and prepare assigned monthly bank reconciliations, investigating and clearing outstanding items.
- Record incoming Pillar 3 debtor payments against the correct accounts and bank ledger, and activate zero-balance accounts where required for new order processing.
- Investigate rejected or partially paid insurance claims, prepare evidence-based appeals, submit complete documentation to insurers and track cases through reconsideration and payment.
- Submit approved claim write-offs to the Finance Director and Finance team for authorisation and posting in SUN; maintain audit-ready records, identify recurring rejection causes and work with HFO and centres on corrective guidance and training.
- Support month-end close, stock takes, asset verification, and the preparation of phased budgets, budget-versus-actual analyses and reports for assigned projects; undertake other related duties as assigned.
Requirements & Qualifications
- Bachelor’s degree in Finance or a related field from a recognised institution, or CPA qualification.
- At least three years of accounting experience in the private sector or an NGO.
- Experience using an ERP system; working knowledge of Inflow and SUN is an advantage.
- Strong data-entry and transaction-processing skills, with care and accuracy when handling financial records and supporting documents.
- Good organisational skills and the ability to manage follow-ups and deadlines across several workstreams.
- Clear communication and the ability to influence colleagues and centre teams on timely, accurate financial processes.
- Able to work with minimal supervision.
