Role Overview
This position owns the day-to-day finances of a marketing and advertising agency operating from Kamakis on the Eastern Bypass, covering everything from raising eTIMS-validated invoices to filing statutory returns and reporting monthly results to management. Because agency income depends on tight control of media spend, freelancer fees and client retainers, the person in this seat keeps each campaign's costs matched to its agreed budget so margins hold. The role reports directly to agency management and works closely with account managers to keep client balances moving and the agency fully compliant with KRA requirements.
Key Responsibilities
- Generate and issue KRA eTIMS electronic tax invoices for client retainers, project milestones and media billings, ensuring every document meets validation requirements.
- Raise client invoices that match approved rate cards, signed scopes of work and project contracts, double-checking figures against the underlying job before release.
- Own the receivables ledger — sending payment reminders, tracking ageing balances and partnering with account managers to recover outstanding amounts quickly.
- Allocate incoming bank transfers, corporate M-Pesa receipts and cheque deposits to the correct client accounts.
- Compute and file monthly VAT, PAYE and Withholding Tax returns on the iTax portal, and remit payroll deductions including SHIF, NSSF and the Housing Levy ahead of statutory deadlines.
- Log and archive client-issued WHT certificates and apply the correct accounting treatment to each one.
- Monitor campaign expenditure such as influencer fees, print media and event production against client budgets, and verify supplier, freelancer, media house and software invoices before they are posted or paid.
- Reconcile digital advertising and traditional media buying spend against client deposits each month.
- Post daily journals, maintain the general ledger, reconcile bank and credit card accounts, and prepare monthly Profit & Loss statements, expense reviews and cash flow projections for management decisions.
Requirements & Qualifications
- Education: Bachelor's degree in Accounting, Finance or a related business discipline.
- Professional certification: CPA Section 4 completed at minimum.
- Experience: At least 3 years of progressive accounting experience; prior work in FMCG, retail, or an agency/service environment is an advantage.
- Systems: Hands-on command of accounting software such as QuickBooks, Sage, Tally or an ERP platform, plus advanced MS Excel skills.
- Regulatory knowledge: Current working understanding of Kenyan tax legislation, iTax navigation and eTIMS invoicing operations.
- Personal attributes: High accuracy and attention to detail, strong integrity, and solid organisational and analytical ability.
- Location preference: Candidates living along or near the Eastern Bypass, Kamakis, Ruiru or the Thika Road corridor are preferred.
