Highly organized, discreet, and proactive Personal Executive Assistant to support our Managing Director. This is a high-trust role for someone who can manage a busy executive schedule, coordinate priorities across stakeholders, and keep daily execution running smoothly—professionally and confidentially.

What you’ll do

  • Own the MD’s calendar: schedule meetings, manage priorities, and prevent conflicts.
  • Coordinate meetings end-to-end: agendas, logistics, follow-ups, and action tracking.
  • Handle correspondence: draft and format emails, letters, and executive communications.
  • Act as a gatekeeper: screen calls/messages, prioritize requests, and manage access.
  • Prepare executive materials: briefs, summaries, presentations, and meeting packs.
  • Manage travel and logistics: flights, hotels, visas (if required), itineraries, and changes.
  • Support personal admin when needed (appointments, renewals, reservations, vendors), always with discretion.
  • Maintain organized records for sensitive documents (digital/physical).

What we’re looking for

  • 3–7+ years experience supporting senior leadership (MD/CEO/Chairman) as EA/PA.
  • Strong calendar management and coordination skills in a fast-paced environment.
  • Excellent written and spoken English (Arabic is a strong advantage).
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams/Zoom).
  • High integrity, strong judgment, and comfort handling confidential information.
  • Clear communication, strong follow-through, and ability to work under pressure.

Nice to have

  • Experience in construction / manufacturing / fit-out / real estate environments.
  • Experience coordinating complex travel across multiple countries.
  • Strong document formatting and executive reporting skills.
