Job Description

DUTIES AND RESPONSIBILITIES

Oversee Day-to-Day Operations of the Veterinary Facility

  • Manage the daily functioning of the veterinary premises, including clinical, administrative, and support services.
  • Ensure a well-organized flow of clients, patients, staff, and supplies for smooth service delivery.
  • Monitor the cleanliness, safety, and efficiency of the facility to ensure it meets both internal and external operational standards.
  • Identify operational bottlenecks or inefficiencies and implement strategic solutions for continuous improvement.

Supervise Veterinary Staff

  • Provide direct oversight and leadership to veterinary surgeons, technicians, interns, and animal handlers.
  • Develop duty rosters, approve schedules, and ensure optimal staffing levels to meet client and patient needs.
  • Conduct regular team meetings and performance reviews, providing feedback, mentorship, and professional development support.
  • Ensure that staff adhere to clinical protocols, patient care standards, and ethical guidelines.

Ensure Compliance with Legal and Regulatory Frameworks

 

  • Maintain up-to-date knowledge of the Veterinary Surgeons and Veterinary Para-professionals Act, KVB regulations, and other applicable laws.
  • Ensure all veterinary procedures, drug handling, waste disposal, and patient records comply with national and county-level regulatory requirements.
  • Prepare and maintain compliance documentation for audits, inspections, or licensing renewals.
  • Lead internal compliance audits and implement corrective measures for any non-conformities.

Uphold Ethical and Professional Veterinary Standards

  • Enforce adherence to the professional code of conduct as outlined by the Kenya Veterinary Board and other relevant authorities.
  • Promote a culture of integrity, accountability, and respect among staff and stakeholders.
  • Handle ethical dilemmas or misconduct cases in accordance with established legal and professional protocols.
  • Serve as a role model for veterinary ethics in clinical decision-making and client communications.

Clinical Oversight and Quality Assurance

  • Oversee and evaluate the quality of veterinary care provided to ensure best practices are followed.
  • Review complex or critical cases and offer clinical guidance to attending veterinarians.
  • Ensure that diagnostic tools, treatment plans, and patient follow-ups are appropriately utilized and documented.
  • Develop and update clinical protocols and SOPs in collaboration with the veterinary team.

Inventory and Resource Management

  • Manage procurement, storage, and usage of medical supplies, pharmaceuticals, vaccines, and surgical equipment.
  • Ensure all drugs and vaccines are handled and stored in accordance with KVB and Ministry of Agriculture guidelines.
  • Maintain accurate stock records and minimize losses due to expiry, theft, or mismanagement.
  • Work closely with suppliers to ensure timely deliveries and negotiate favorable terms.

Training and Capacity Building

  • Identify training needs among veterinary and support staff and organize in-house or external training sessions.
  • Promote ongoing professional development and encourage staff participation in CPD (Continuing Professional Development) programs.
  • Coordinate with veterinary institutions and boards to facilitate attachments, internships, and mentorship programs.
  • Ensure new staff undergo comprehensive onboarding and orientation.

Stakeholder Engagement and Client Relations

  • Act as the primary liaison between the veterinary practice and regulatory bodies, suppliers, partner organizations, and the community.
  • Ensure excellent client service standards, addressing escalated complaints or concerns promptly and professionally.
  • Represent the organization in professional forums, stakeholder meetings, and community outreach programs.
  • Promote public education on animal health, zoonotic diseases, and responsible pet ownership.

Risk Management and Emergency Preparedness

  • Develop and implement safety protocols, infection control procedures, and emergency response plans.
  • Ensure that the practice is equipped to manage disease outbreaks, injury incidents, or clinical emergencies.
  • Oversee vaccination, deworming, and biosecurity protocols for in-house and client animals.
  • Ensure all staff are trained in first aid, emergency handling, and use of personal protective equipment (PPE).

 

  • Compile regular reports on clinical performance, staff productivity, regulatory compliance, and client satisfaction.
  • Contribute to strategic planning for practice growth, quality improvement, and community engagement.
  • Analyze operational data and industry trends to guide decision-making and innovation.
  • Present reports to directors, partners, or board members as required.

KEY REQUIREMENT SKILLS AND QUALIFICATION

  • Degree in Veterinary Medicine (BVM) from a recognized institution
  • Must be registered and licensed by the Kenya Veterinary Board (KVB)
  • Minimum of 5 years of proven post-licensure experience in veterinary practice, with at least 2 years in a supervisory or management role.
  • Comprehensive knowledge of the Veterinary Practice Act and current industry standards.
  • Strong leadership, organizational, and interpersonal skills.
  • Demonstrated ability to work under pressure, solve problems proactively, and make sound decisions.
  • Excellent communication and reporting skills.
Salary: Ksh. 100,000
