Job Description

To provide administrative and coordination support to the service and technical team by managing job schedules, updating operational systems, preparing quotations, coordinating with internal departments, and supporting logistical and documentation processes. The role ensures efficient service delivery, timely client communication, and proper documentation management.

Job Scheduling & Task Allocation

  • Updating and Allocating jobs on scheduling system for engineers daily.

Client Interaction & Support

  • Act as the first point of contact to attend to all technical queries whether via phone, email, or walk-in clients.
  • Follow up with clients for Orders .
  • Manage order process to ensure timely delivery of spares and services.
  • Respond to customers issues .
  • Maintain high level of customer satisfaction.

Documentation & Systems Management

  • Prepare quotations for repairs, parts, and service works.
  • Prepare Service Level Agreement Prepare proposals and manage the same
  • Ensure service software platform is up to date
  • Maintaining documents in a safe and organized manner

Travel & Expense Management

  • Prepare travel estimates for the engineering team and coordinate approvals.
  • Manage and track engineers’ expenses.

Tendering & Business Development Support

Participate in the tendering process for services and parts.

  • Diploma or Degree in Business Administration, Customer Service Engineering, or a related field.
  • Proven experience in service coordination, technical administration, or customer-facing roles.
  • Proficiency in MS Excel, Synchro team, and Sage (or equivalent ERP tools).
  • Strong organizational, multitasking, and documentation skills.
  • Excellent verbal and written communication.
  • Professional, client-oriented demeanour and proactive problem-solving ability.

Preferred Attributes:

  • Background in engineering services or a technical support environment.
  • Ability to manage client expectations while supporting internal teams.
  • A high level of attention to detail and a structured approach to task execution.
Salary: Kshs. 40,000 - Kshs. 50,000
