Job Description

The HR Clerk plays a vital role in supporting the effective functioning of the Human Resources department by ensuring efficient handling of administrative tasks and contributing to the overall employee experience. By maintaining accurate records and facilitating smooth HR processes, the HR Clerk supports the creation of a productive, compliant, and people-centered workplace culture. The role requires a high degree of discretion, attention to detail, and commitment to excellence in service delivery.

 

Key Accountabilities

 

Prepare, maintain, and update documentation and files for new hires and existing employees.

 

Distribute, file, and maintain records related to the employee life cycle and other HR documentation.

 

Monitor compliance with documentation standards and ensure proper archiving of all HR files.

 

Generate HR-related documents, letters, and internal communications in line with organizational standards.

 

Ensure confidentiality, integrity, and security of all HR records in accordance with the Data Protection Act and company policies.

 

Manage the company’s internship program, including onboarding and mentoring interns, while ensuring their meaningful engagement, professional growth, and compliance with relevant regulations.

 

Ensure accurate and complete background check and onboarding documentation for all new employees.

 

Prepare HR correspondence including bank/visa/KAA introduction letters, warning letters, promotion letters etc.

 

Organize and facilitate orientation sessions for new staff to integrate them into the organization.

 

Coordinate the planning and logistics for staff training sessions, welfare activities, and internal HR meetings.

 

Address employee inquiries, concerns, and requests regarding welfare programs with professionalism and care.

 

Plan and coordinate employee wellness initiatives and events aimed at enhancing overall staff well-being.

 

Collaborate with various departments to deliver timely and effective HR support, ensuring employee needs are addressed and issues resolved promptly.

 

Requirements

 

Diploma in Human Resource Management, Business Administration, or related field (Bachelor’s degree is an added advantage).

 

Minimum of 1–2 years of relevant experience in an HR or administrative role.

 

Must be a registered member of IHRM (Institute of Human Resource Management) or in the process of registration.

 

Strong organizational and time-management skills.

 

High level of confidentiality and integrity.

 

Good understanding of Kenyan labor laws and HR best practices.

 

Proficient in Microsoft Office (Word, Excel, Outlook).

 

Good interpersonal and communication skills
