The Projects Coordinator will play a vital role in ensuring the smooth execution of IT projects by supporting project managers in organising, planning, tracking, and coordinating various project activities. This position ensures that projects stay on track, within budget, and are effectively communicated across internal teams, clients, and stakeholders. The role also includes documentation, project tracking, help desk support, and client communication to ensure seamless project delivery.
Responsibilities
Project Coordination & Support
- Assist project managers in planning and executing IT projects.
- Coordinate and organize project team activities, ensuring alignment with project objectives.
- Monitor and track project progress, ensuring deadlines and milestones are met.
- Ensure all projects adhere to internal project management methodologies and best practices.
Documentation & Reporting
- Maintain and update project documentation, including meeting minutes, reports, project plans, and risk registers.
- Prepare project status updates and reports for stakeholders and senior management.
- Ensure proper version control and documentation storage for easy retrieval.
Communication & Client Engagement
- Act as the primary liaison between internal teams and clients, ensuring clear communication.
- Provide timely updates to clients and stakeholders on project progress and any potential risks.
- Handle inquiries from clients regarding project timelines, deliverables, and any support needed.
Tracking & Risk Management
- Track project deliverables, ensuring tasks are completed on schedule.
- Identify risks and potential issues in projects and escalate them to the project manager.
- Work with project teams to resolve bottlenecks and improve workflow efficiency.
Help Desk & Support
- Provide first-line support for client inquiries related to ongoing projects.
- Assist in troubleshooting and resolving minor project-related technical issues.
- Coordinate with technical teams to escalate and resolve project-related concerns.
Project Administration & Resource Management
- Support in managing project resources, ensuring teams have the necessary tools and information.
- Coordinate project meetings, preparing agendas and ensuring follow-ups on action points.
- Ensure all project stakeholders are well-informed and aligned on project goals.
Qualifications
- Bachelor’s degree in IT, Business Administration, Project Management, or a related field.
- 2+ years of experience in project coordination within a technology-driven environment.
- Proficiency in project management tools (e.g., Microsoft Project, Jira, Asana, Trello).
- Strong organizational and multitasking abilities.
- Excellent communication skills for client and internal team engagement.
- Knowledge of IT infrastructure, ERP, cloud services, or software development projects is an added advantage.
