Job Description
  • The Project Intern will provide technical and administrative support in the implementation, monitoring, and documentation of activities under the BMZ-funded project in Masinga Sub-County. This role is designed to offer practical exposure to project management, community engagement, and donor reporting processes within a development context

Key Responsibilities

Project Implementation Support

  • Assist in planning and coordinating project activities in alignment with BMZ guidelines and timelines.
  • Support logistical arrangements for field visits, training sessions, and stakeholder meetings.
  • Facilitate stakeholder participation through effective mobilization during project events and activities.
  • Prepare activity budgets, requisition, and organize materials to ensure smooth implementation of field missions.
  • Mobilize project beneficiaries, local leaders, and partner institutions to enhance community participation in project interventions.
  • Participate in community sensitization sessions, stakeholder meetings, and activity rollouts to ensure timely and efficient execution of planned activities.
  • Maintain confidentiality and adhere to ethical standards when handling community and project-related information.
  • Support the preparation and processing of requisitions, approvals, and expenditure tracking in compliance with BMZ requirements.
  • Participate in field monitoring visits to assess progress against activity plans and performance indicators.
  • Assist in data collection, entry, and preliminary analysis under the guidance of the Monitoring and Evaluation (M&E) team.
  • Document lessons learned, challenges, and best practices to inform project learning and adaptive management.

Documentation and Reporting

  • Support in documentation and tracking of project materials, including scanning and organizing records.
  • Assist finance to ensure standards for documentation, including forms, support documents, and procedures for retention of documents, are observed in Masinga office for (both physical and electronic filing).
  • Prepare accurate and timely minutes for project meetings, workshops, and donor review sessions.
  • Maintain both physical and electronic filing systems for project documents, ensuring proper labeling, organization, and easy retrieval.
  • Assist the finance to scan BMZ Project transaction support documents (payment vouchers and journals) then file them on financial reports SharePoint folder.
  • Assist in logistics coordination including motor vehicle management.
  • Contribute to the development of field reports, photo documentation, and success stories highlighting project progress and impact.
  • Compile data for monthly, quarterly, and donor reports in collaboration with the Monitoring, Evaluation, Accountability, and Learning (MEAL) team.

Stakeholder and Community Engagement

  • Support logistical arrangements for the selection of project target populations, sites, and related interventions.
  • Facilitate communication and coordination between community project committees, local administration, and community structures during activity planning.
  • Organize stakeholder consultative forums, training sessions, and review meetings.
  • Maintain and update a stakeholder engagement tracker and contact database for project partners and collaborators.

Qualification & Experience

  • Currently pursuing or recently completed a degree in Development Studies, Project Management, Social Sciences, or a related field.

Knowledge, Skills & Abilities Required

  • Strong organizational and communication skills in English and Kiswahili.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Basic understanding of project management principles; familiarity with M&E is an added advantage.
  • Willingness to travel and work in field conditions.
  • Interest in community development and humanitarian work.
  • Ability to adapt and thrive in multicultural environments.
