Job Description

Key Responsibilities

Import/Export and Logistics

  • Coordinate import and export operations from order placement to final delivery.
  • Prepare and verify all shipping documents, including invoices, packing lists, bills of lading, and certificates of origin.
  • Liaise with customs brokers, freight forwarders, and government agencies.
  • Ensure full compliance with international trade laws, customs regulations, and company policies.
  • Track shipments, proactively resolving delays or discrepancies.
  • Negotiate freight rates to optimise logistics costs.
  • Maintain accurate records of transactions and update ERP systems.
  • Monitor changes in trade regulations and advise management accordingly

Local Procurement

  • Source and evaluate local suppliers based on critical factors such as price, quality, reliability, and service.
  • Prepare and process purchase orders and requisitions for local goods and services.
  • Negotiate contracts and terms with vendors to secure the best value for the company.
  • Monitor inventory levels and coordinate with the stores department to prevent stock-outs or overstocking.
  • Ensure all procurement activities adhere to internal controls and regulatory requirements.
  • Maintain accurate records of purchases, pricing, and supplier performance.
  • Liaise with the finance department to ensure timely payment and reconciliation of procurement transactions.
  • Resolve issues related to delivery delays, defective goods, or vendor disputes.
  • Support audits and reporting by providing procurement documentation and analysis

Academic and Professional Qualifications

  • A Bachelor's degre in International Business, Logistics, or a related field will be preferred.
  • Minimum of 3-5 years of experience in import/export operations.
  • Strong knowledge of Incoterms, HS codes, and customs procedures.
  • Proficiency in MS Office and ERP systems (e.g., SAP, Oracle).
  • Certification in Local supply chain, international trade, or logistics is a plus.
  • Experience with East African trade regulations and port operations is preferred.
