The project Manager will lead and oversee the end-to-end relocation of the company’s warehouse and office facilities to a new site for a period of 9-12 months. The job holders will be responsible for ensuring all activities are executed in line with the approved project plan, budget and timelines, while proactively ensuring compliance with legal and regulatory requirements, and maintaining uninterrupted business operations during the transition.
Key Responsibilities
Planning and Strategy
Define project scope and goals through working with stakeholders to establish project outcomes. This will involve a detailed project plan, including a schedule, budget, and resource allocation.
Lead the execution of the relocation project with the approved scope, timelines and budget.
Perform risk management, identify potential issues and developing strategies for mitigation.
Coordinate internal teams, contractors and vendors to ensure smooth relocation of the warehouse and office operations.
Develop and maintain detailed relocation schedules, checklists and progress reports.
Execution and Monitoring
Lead the project team and provide clear direction.
Monitor progress, track key metrics, and ensure the team stays on schedule.
Manage the project budget, ensuring expenses don't exceed the allocated funds and adjust as needed.
Develop and oversee contingency plans to minimize downtime during the relocation.
Communication and Stakeholder Management
Act as the main point of contact between the team and stakeholders, providing regular updates on project status.
Manage stakeholder expectations and address any concerns or changes.
Risk and Compliance, Quality and Closure
Ensure the final deliverables meet quality standards. They oversee testing and reviews to confirm the project's output is satisfactory.
Conduct a project closure process, which includes a final review, documenting lessons learned, and formally handing over the project to its new owners.
Ensure compliance with health, safety and environmental, and industry-specific regulations during the move.
Maintain proper documentation for audit and compliance purposes.
Academic and Professional Qualifications
Bachelor’s degree Commerce, Business Management or related field. Master’s degree will be an added advantage
Professional qualification in project management; Agile certification will be an added advantage
At least 7 years of proven experience in a project management role within retail, manufacturing, logistics or related field
Proficiency in project management systems, i.e., Microsoft Project, Asana, Jira, etc.
Skills and Competencies
Excellent verbal and written communication skills
Demonstrated ability to coordinate with a range of internal and external stakeholders to ensure project deadlines are met.
Strong project management skills for handling critical path schedules, creating and overseeing plans, and managing dependencies to ensure effective project delivery.
Change Management expertise to develop these capabilities within the business stakeholders
Strong negotiation skills to resolve conflicts and keep everyone aligned toward a common goal.
It would be an added advantage to possess the following:
Oversight of procurement processes and third-party service management, including coordination with equipment suppliers and construction contractors
Knowledge of distribution supply chains (including warehousing, inventory management, and fleet management) is required to develop and implement a plan for transitioning inventory from one warehouse to another, while maintaining business operations to continue serving customers during the relocation process.
