Admin & Office Executive
About Proball Basketball Training
Proball Basketball Training is a leading basketball club and academy in Dubai, dedicated to providing high-quality basketball training for young athletes. With multiple training locations and a busy game schedule, we strive to maintain a professional and well-organized operation for our players, parents, and coaches.
Role Overview
The Admin & Office Executive will play a key role in managing the daily operations of Proball Basketball Training. This individual will oversee multiple WhatsApp accounts for communication, handle email correspondences, participate in training sessions at different school locations, and attend games over the weekends. Additionally, they will be responsible for tracking player attendance, managing the sports application used for registrations and payments, and following up on financial transactions, including payments from parents and club-related expenses.
The ideal candidate must be well-organized, tech-savvy, proactive, and have excellent communication skills in English (Arabic is a plus).
Key Responsibilities
1. Communication & Coordination
Manage and respond to multiple WhatsApp accounts for both the Basketball Club and the Academy (handling inquiries, sharing schedules, sending updates, etc.).
Undertake email correspondence on behalf of the club, ensuring timely and professional responses to parents, partners, and stakeholders.
Maintain clear communication between coaches, parents, and management regarding training schedules, changes, and game details.
Act as the first point of contact for parents, students, and new inquiries.
2. Training & Game Support
Attend practice sessions at two different school locations (coordinate logistics, track attendance, support coaches if needed).
Be present during weekend games to assist with organization, logistics, and communication with parents and players.
Help in organizing team rosters and ensuring players are informed about game timings and locations.
3. Attendance & Sports Application Management
Monitor and record player attendance at all practices and games.
Manage the sports application used by the club, ensuring accurate attendance records, updating player information, and tracking payments.
Generate reports on attendance and player participation as required.
4. Payment Tracking & Financial Management
Calculate, communicate, and monitor tuition fees to be collected from parents, ensuring timely payments.
Follow up on outstanding payments, sending reminders and ensuring smooth payment collection.
Track and manage club expenses, ensuring invoices and payments are processed correctly.
Maintain financial records related to academy operations, including fees, sponsorships, and other financial transactions.
5. Administrative & Operational Support
Assist with player registration, ensuring all required documents are collected and stored securely.
Coordinate with the club’s finance team regarding payments, invoices, and financial reporting.
Maintain accurate player records, waivers, and contracts in digital and physical formats.
Support event planning for club tournaments, camps, and community engagement activities.
Handle inventory management for club apparel, training equipment, and merchandise.
Provide general office administration, including ordering supplies, scheduling meetings, and maintaining office efficiency.
Key Skills & Qualifications
Previous experience in administration, office management, or sports club coordination is preferred.
Excellent English communication skills (written & verbal); Arabic is a plus.
Tech-savvy; proficient in managing WhatsApp, emails, and sports/training applications.
Strong organizational skills with the ability to multitask and handle multiple responsibilities.
Experience in financial tracking and payment follow-ups is highly desirable.
Ability to work in a fast-paced sports environment and be available during evening practices and weekend games.
A customer-service mindset with a friendly and professional attitude towards parents, players, and staff.
Passion for sports and youth development is a plus.
Working Conditions
Work hours will be a mix of office-based and fieldwork at training locations and games.
Weekend availability is mandatory due to game schedules.
Candidate must be able to travel between training locations and game venues within Dubai.
