Job Description
Purpose:
The Records & Archives Manager will be responsible for overseeing the management, preservation, and accessibility of digital records. This role includes creating policies and procedures for digital archiving, ensuring adherence to standards, and working closely with different departments to optimize the use of digital resources.
Digital Archives performance Management & Reporting:
- Ensure compliance through effective Risk management, update of Risk registers and Closure of raised Audit issues.
- Support in reviewing and filing of department monthly RCSA (Risk control self-assessment)
- Develop and implement strategies for the acquisition, organization, and preservation of digital materials.
- Establish and maintain metadata standards and practices to ensure the discoverability and usability of digital archives.
- Implement preservation strategies for digital records to ensure long-term accessibility.
- Promote the use of digital archives through outreach, training, and educational programs for staff and users.
- Draft and enforce policies related to digital preservation, access, and copyright compliance.
- Lead digital archiving projects, ensuring they are completed on time and within budget.
- Monitor and evaluate the effectiveness of digital archive programs, preparing reports for stakeholders.
Governance:
- Uphold and promote the bank’s corporate philosophies.
- Enforce compliance with approved policies and procedures.
Financial/Planning & Budget Management:
- Safeguard proper use of bank assets under your custody.
Supplier/Customer Performance:
- Resolve issues to the satisfaction of customers and within SLA.

Qualifications, Experience
- Academic: Bachelor’s degree in information sciences with a bias in archives & records management
- Desired work experience: Minimum of 6 - 8 years proven experience in Archives & Records Management with a bias in a digital archiving environment.
Key Competencies & Skills
- Expertise in information governance principles, including records retention policies and compliance regulations.
- Proficiency in metadata standards and practices for organizing and retrieving digital information.
- Knowledge of data security protocols and privacy laws relevant to document management.
- Experience with integrating EDRMS with other enterprise systems for seamless data flow.
- Capability to develop training materials and support users in navigating EDRMS tools.
- Strong problem-solving skills to address technical issues related to EDRMS functionality.
- Proficiency in generating reports and analyzing data usage patterns within the EDRMS.
