We seek an enthusiastic Administrative Assistant with at least 2 years of experience in a similar role. The ideal candidate will ensure a welcoming environment for our guests and facilitate smooth communication between clients and our design team.
Key Responsibilities:
- Greet and welcome guests when they arrive at the office, ensuring a positive first impression.
- Direct visitors to the appropriate person and office, assisting as needed.
- Answer, screen, and forward incoming phone calls promptly and professionally.
- Maintain a neat showroom, office, and tailoring area, ensuring a welcoming atmosphere.
- Act as a coordinator between clients and designers throughout the project lifecycle, ensuring effective communication.
- Assist designers in compiling a portfolio of their work, showcasing their designs and projects.
- Develop relationships with vendors (fabrics, wallpapers) and negotiate favorable terms and conditions.
- Obtain and organize plan specifications to ensure contractors' accurate product placement.
- Research fabrics, floor and wall coverings, antiques, and accessories as required for projects.
- Coordinate with contractors, vendors, and shipping agents to facilitate timely deliveries.
- Liaise with vendors and participate in client/designer meetings to ensure alignment on project goals.
- Coordinate the ordering and tracking of furniture pieces from vendors.
- Update, track, and monitor client and vendor account information accurately.
- Provide pricing and delivery information to designers and their clients to assist decision-making.
- Coordinate deliveries to clients’ residences, ensuring zero delays on orders placed.
- Review and update catalogues every quarter to reflect current offerings.
- Ensure the quality of mood boards and the organization of the fabric library, including revising schedules, labeling, and preparing delivery notes.
- Assist designers with selections, manage walk-in clients, coordinate with the driver schedule, and communicate with tailors and furniture factories.
Qualifications:
- Minimum of 2 years of experience as an Administrative Assistant or in a similar role.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and work effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of interior design terminology and materials is a plus.
What We Offer:
- Competitive salary starting from AED 4,000.00 per month.
- Flexible working hours with schedules available from 9:00 AM - 6:00 PM or 12:00 PM - 9:00 PM.
