Role Overview
You will step into a hands-on IT operations role that keeps a global organisation running securely and efficiently. Day to day, you will manage the technical backbone—administering systems, restructuring Google Workspace, safeguarding data backups, and supporting colleagues across multiple regions. Your work directly reduces security risks and ensures that every employee, consultant, and partner has the right access at the right time, while keeping the broader IT environment stable and compliant.
Key Responsibilities
- Lead the cleanup and reorganisation of Google Workspace, replacing fragmented file structures with well-governed Shared Drives and clearly defined, role-based folder access to lower the risk of data exposure.
- Own the full account lifecycle: create, modify, and retire user accounts in line with formal procedures, and make sure access is cut off immediately the moment anyone leaves the organisation or finishes a contract.
- Run and supervise automated backup jobs for core platforms—Google Workspace, Salesforce, and Certinia—using tools such as Spanning, and carry out regular test restores to confirm data can be recovered when needed.
- Enforce internal IT security minimum standards and support the wider rollout of a formal network security policy, so every region follows the same protective rules.
- Put in place practical safeguards against unauthorised data access, fraud, and privacy breaches, ensuring compliance with GDPR and related reporting duties.
- Keep technical documentation current and precise—covering global IT processes, system configurations, and security routines—so critical knowledge is never locked in one person’s head.
- Handle day-to-day service desk tickets, acting as a reliable escalation point for colleagues who need technical help.
- Coordinate with regional IT staff, giving them the tools and guidance to serve as the first line of support for local business teams, and provide dedicated technical assistance to the ED office.
Requirements & Qualifications
- Bachelor’s degree in Information Technology, Computer Science, Systems Engineering, or equivalent hands-on experience in a comparable role.
- At least 2–3 years of professional experience in IT system administration, helpdesk coordination, or network security.
- Strong working knowledge of the Google Workspace Admin Console, especially access controls, Shared Drive governance, and user lifecycle management.
- Practical exposure to Salesforce and Certinia ecosystems, including how user access and data flows operate within those platforms.
- Familiarity with GDPR and other data privacy regulations, with the ability to translate compliance requirements into everyday IT procedures.
- Hands-on experience with backup tools like Spanning, plus a clear understanding of data restoration testing and offboarding protocols.
- Working proficiency in English is mandatory. Additional languages spoken in regional offices—such as Spanish, Portuguese, or French—are a strong plus.
