Job Description
Responsibilities:
- Deals with daily administrative duties in the Chief Executive Officer’s office and completes a broad variety of administrative tasks that include composing and preparing correspondence that is sometimes confidential.
- Assists and supports the Chief Executive Officer in preparing for meetings including preparing meeting materials, keeping track of follow up items, and preparing and revising correspondence and other documents, as necessary.
- Works closely and effectively with the Chief Executive Officer to keep him well informed of upcoming commitments and responsibilities and following up appropriately.
- Keep abreast of ongoing projects and project actions that require the attention of the Chief Executive Officer
- Keep abreast of and follow up of all outstanding actions and activities that require the Chief Executive Officer attention.
- Maintain the Chief Executive Officer's appointment schedule by planning and scheduling business and personal meetings, as well as coordinating and arranging detailed travel plans and itineraries.
- Handling correspondence for the Chief Executive Officer’s Office , and appropriately relay important information promptly, clearly while maintaining confidentiality needed in handling sensitive business matters.
- To keep well-informed of all reports and correspondence sent to the Chief Executive Officer for follow up e.g. internal audit reports, operational and maintenance reports, project reports, financial and marketing reports.
- The Executive Assistant will access the CEO’s emails and bring up emails that may need his immediate and urgent attention while keeping maximum confidentiality.
- To maintain close working relationships with appropriate external Agencies and networks as directed.
- Work closely with Executives, Unit and Country Managers on matters that may need the Chief Executive Officer's attention.
- Coordinate errands as needed by the Chief Executive Officer for both business and personal reasons.
- Preparation of Complimentary Vouchers in support of Charitable NGO's /Initiatives for the CEO’s Signature.
- Work in collaboration with other Administration staff and or Executives staff on adhoc administrative tasks from time to time.
Requirements:
- Bachelor's Degree in Business Management/Administration or equivalent.
- A minimum of 3 years office experience.
- Must be proficient with Microsoft Office, Word, Excel and good working knowledge of PowerPoint.
- Highly organized, self-motivated, highly confidential person and of high integrity.
- Excellent verbal and written communication skills and able to interact with people of all levels in a confident, professional manner.
- Detail-oriented and good time management skills and ability to prioritize work.
- Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment.
