Job Description

Overall duties of the Supervising Architect

 

Working directly under the Project Manager’s Architect (Lead Architect), the Supervising Architect will oversee the day-to-day execution of architectural aspects of the project, ensuring that milestones are met within the agreed timelines, budgets are adhered to, and quality standards are maintained. He will also ensure that there is harmony in the drawings from all consultants to avoid conflicts during construction. The duties of the Supervising Architect will include the following:

 

Production Drawings / Architectural Details: The Supervising Architect will produce a set of construction details from the Scheme Designs and Submission Drawings, which have already been developed by the Client.

 

Design Coordination: Ensuring that architectural Detailed Designs is aligned with other construction details, namely Structural Designs, Mechanical Designs, Electrical Details, Interior Designs, Landscape Details, etc.

 

Cost Controls. Align specifications, material selection with overall project costs in consultation with Project Manager and the Quantity Surveyor.

 

Supervision of Architectural Works: In collaboration with the Project Manager, overseeing the on-site management of contractors and subcontractors, executing architectural works, ensuring compliance with contractual agreements, safety regulations, and industry standards. The Supervising Architect will directly supervise all stages of actual construction, from foundation to finish, in collaboration with, and on behalf of the Lead Architect.

 

Compliance and Quality Assurance: Ensuring that all project activities comply with local regulations, industry standards, and contractual obligations. The Supervising Architect will ensure that all site requirements by different regulators, e.g. National Construction Authority, Nairobi County, National Environmental Management Authority, Labour, etc. are strictly adhered to.

 

Reporting and Communication: The Supervising Architect will report to and will execute all architectural works as directed by the Project Manager’s Lead Architect.

 

Detailed Design and Tender Action

 

Based on the Submission Drawings to the County, the Supervising Architect will produce tender drawings including Detailed Designs, Construction Specifications, Shop Drawings, etc. Such construction working drawings, shop drawings and specifications, must be harmonized with all other consultants outputs, including the QS Bills of Quantities, Service Engineers Drawings, Interior Designers Drawings and Specification, and landscape Architects Drawings and specifications, among others.

 

Construction Detail - Drawings

 

Provide detailed construction information (comprehensive set of working drawings to be approved by the Project Manager’s Lead Architect), including material specifications and installation instructions, to aid the tendering and construction process.

 

Construction Supervision

 

The Supervising Architect plays a pivotal role in supervising the construction phase, ensuring that all aspects of the project are delivered according to the construction details, shop drawings and specifications. To that end s/he will be responsible to regular supervision of works, at least once every two weeks, including preparation for all project milestones.

 

Contract - Administration

 

Working under the Lead Architect from the Project Manager’s team, the Supervising Architect will oversee execution of all architectural components of the project of the construction contract, ensuring that all work is carried out according to the contract terms.

 

Report on the construction process, process and quality to Lead Architect.

 

To take minutes during site meetings.

 

Site Visits

 

Conduct regular site visits to inspect progress, ensure adherence to quality standards, and address any arising issues on site in consultation with the Lead Architect.

 

Completion of Works

 

With specific reference to architectural works, oversee the contract close-out process, including final inspections, snag lists, and ensure any defects are remedied.

 

As Built Drawings

 

Under the Supervision of the Project Manager’s Lead Architect, prepare and provide the client with as-built drawings detailing the final construction.

 

Interested Individual consultants are expected to submit the following:

 

Technical Proposal (Not more than 30 Pages excluding annexes/attachments)

 

Understanding of the Supervising Architect’s Role, including the scope of works and relationship with the Project Management Team and other consultants.

 

Proof of experience in handling similar projects by providing a list of past and present clients for which the consultant conducted similar projects.

 

Indicate years of experience in the field of construction, the minimum experience post registration is Ten Years (10 Years).

 

Submit CVs, academic, professional certificates.

 

Submit current BORAQS Practice License (2025-2026).

 

Submit at least three Certificates of completion/recommendation letters from previous most recent clients and include contract information.

 

Any other information to support your proposal.

 

Professional Fees Proposal

 

This project will be time and output based, therefore the breakdown of professional fees should be structured in a similar manner.

 

Budget should be clearly broken down and justified including estimated days of working, and expenses related to every phase.

 

Be comprehensive and inclusive of all applicable taxes.
