Job Description

Purpose of Position The Talent Acquisition Specialist will provide effective coordination and technical support in end-to-end recruitment processes to contribute to the measurable improvement of the well-being of vulnerable children and communities in Kenya.

Major Responsibilities:

Recruitment & Selection:

  • Lead overall recruitment processes, ensuring timely and quality recruitment and selection.

  • Coordinate the development of workforce plans.

  • Promote Gender Equality, Disability, and Social Inclusion (GEDSI) throughout recruitment processes.

  • Provide regular updates on recruitment status using the recruitment tracking tool.

  • Ensure data accuracy and compliance with recruitment metrics.

  • Conduct market research and coordinate materials for career events.

  • Assist in sourcing candidates through social media and other channels.

  • Develop and maintain relationships with potential candidates.

  • Identify opportunities for improving recruitment processes.

  • Ensure achievement of World Vision’s diverse staffing needs through proactive sourcing and transparent recruitment processes.

  • Provide technical guidance in the development of job descriptions, ensuring alignment with approved WVK structures.

  • Coordinate and guide the selection process, including shortlisting and interviewing candidates.

  • Conduct candidate screening in accordance with WVK policies.

  • Negotiate pay packages and extend employment offers to successful candidates.

  • Provide timely updates to hiring managers and P&C teams, ensuring smooth staff orientation and induction.

  • Manage recruitment-related conflicts and disputes.

  • Provide timely reports on recruitment plans, interview outcomes, and recruitment status.

Employee Contract Management:

  • Administer employment contracts, ensuring appointments, renewals, and extensions.

  • Coordinate changes in employee movement, including acting appointments, promotions, transfers, and deployments.

  • Track grant cycles and ensure timely staff contract renewals and extensions.

  • Ensure compliance with contract management processes to avoid litigation.

  • Maintain accurate staff data on People & Culture Information Systems.

  • Provide accurate and timely contract management status reports.

Workforce Planning & Grants Acquisition:

  • Collaborate with directors to ensure timely development and implementation of workforce plans.

  • Provide recruitment technical support during proposal development and grant acquisition processes.

  • Identify and analyze staffing needs and collaborate with line managers for strategic prepositioning of staffing capacity.

  • Develop and maintain an updated pool of qualified candidates.

Collaboration & Networks:

  • Participate in the rollout of P&C initiatives.

  • Participate in committees and task forces, as assigned.

  • Participate in HR inter-agency workgroups and other networks.

Knowledge/Qualifications for the Role:

Required Professional Experience:

  • Minimum of four years’ experience in human resources.

  • Experienced in recruiting, interviewing, and conducting job evaluations.

  • Strong organizational and time-management skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in MS Office applications and familiarity with HRIS systems.

  • Ability to manage multiple tasks and meet deadlines.

Required Education & Certification:

  • University degree in Human Resource Management, Business Administration, or a related field.

  • CHRP certification is an added advantage.

  • Professional diploma in Human Resources Management required if the first degree is not in HRM.

  • Membership in a recognized human resources professional body with an appropriate Certificate of Practice.

Preferred Knowledge and Qualifications:

  • Experience in a cross-cultural environment.

  • Knowledge of employment laws and regulations.
